Why have you received an email from us?

 

At Design Wizard, we believe that content is king and if we have emailed you, it’s most likely because we believe you’ve created a useful piece of content, but we have spotted a way to make it an even better resource.

 

For instance while searching online, we found this article: https://www.prestashop.com/en/blog/7-free-online-photo-editing-tools

 

It’s about free online photo editing tools, but originally did not include Design Wizard. We are also a free photo editing tool, so we reached out to the team at Prestashop and suggested that their post might become an even better resource by including Design Wizard. They agreed and ended up adding Design Wizard into the post as an additional resource.

 

If you are being contacted by us, it’s likely because we believe you have written a piece of content that could benefit from either adding Design Wizard as a useful resource in your post, or adding a piece of content that we have created into your existing post to expand on a point. Under GDPR 2018 we are contacting you as we believe we (and you) have a legitimate interest in us doing so:

 

“Processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.”

 

An example would be if you had written an article titled “10 marketing tools every small business needs” and it didn’t include us. Our tool is a marketing tool and is very useful for small businesses, so we might suggest adding us into the post to make it an even better resource.

We use a number of methods to identify pieces of content that are possibly relevant to us and it is likely that we found your website through one of these methods. Here is a more detailed explanation of how we might have come across your content, identified it as a piece of relevant content and searched for your contact information to reach out to you:

 

  1. We reverse engineer links of our competitors using a tool called Ahrefs. This allows us to see other websites that might have written an article that is relevant to our product and mentions our competitor. We go through each one that Ahrefs finds, and decipher whether or not mentioning Design Wizard or a piece of content from the Design Wizard website can make their piece of content better. If we believe it can make it better we contact them, if we don’t we skip it.
  2. We search the internet for “resource pages”. For example someone might have wrote a post about tools that small businesses can use to help their marketing. Design Wizard is a tool that can help a small business with their marketing, so we believe that by telling them about our tool and giving them the potential to add it to the list, they are making their piece of content better and more comprehensive by doing so. Here is an example: if we googled “small business marketing tools” we might find this article – https://smallbiztrends.com/2017/06/free-marketing-tools-small-business.html – it lists a lot of free marketing tools for small businesses, we have a free marketing tool for small businesses, so by adding us to the list the author makes the list even more comprehensive and it benefits his readers even more. We also run a tool in this case to check for broken links, in this case a broken link would be bad for the author because it means their content is not up to date and it’s a bad user experience for the reader, because if they click on a link and it doesn’t work it’s not good. So if we check the content for broken links and find them, then reach out to the author, they are glad because we are helping them improve the experience for their user and because we are suggesting a possible replacement. Either way we it is our opinion that they will be happy that we contacted them to let them know about us.
  3. Synonym method is where we look for related businesses to ours, often marketing agencies or similar such as graphic design agencies, where they themselves either would have a use for our product, or would have an audience that could use it. In this case we reach out to them and offer to write a piece of content specific to their audience, they benefit because they have a fresh piece of content that’s interesting and useful, but they don’t have to write it. We also offer them the opportunity to guest blog on our site in some cases, the benefit to them here being that it gives them the opportunity to be exposed to our audience. We believe in both cases that there is benefit to us contacting them
  4. We also sometimes create infographics on various subjects. We then reach out to people who we think will be interested in these infographics. We do this in a number of ways, such as with tools such as Ahrefs and Buzzsumo to find people who are talking about or are interested in the same subject as the infographic online. We also look specifically for people who have shared or linked to the same subject matter on their websites. We reach out and tell them that we created an infographic they might like and ask them permission to send it to them, if they don’t want to see it or don’t respond, we don’t send it to them. If they do ask to see it we send it to them, either way we ask for their permission to send them the infographic and inform them of the reason why we are contacting them eg. “ I noticed you recently shared XYZ’s infographic about social media marketing tools, we just created an infographic about social media marketing tools that I think you might like. Let me know if you want to check it out and I’ll send it over.
  5. We also look for “best of” articles, in other words people who have written posts about the best posts they read this week/month/year. For example we might search for “best social media marketing posts February” then find something like this: https://mavsocial.com/social-media-news-february-2018/ This article mentions other social media marketing articles, we wrote a post specifically about social media marketing tools that they might want to share in their next edition – https://designwizard.com/blog/social-media-marketing-tools/ so we would reach out to them and tell them about it and they would be happy because we have made it a little bit easier for them to create their next post because they have less research.
  6. Guest posts. Some websites accept guest posts and we would like to create content for their websites. We actively search for websites that accept guest posts. Often times they will have a page dedicated to their guest post guidelines, explaining what type of content they like to receive as well as how to pitch a new post to them. We look for these websites that accept guest posts and pitch them our ideas through email outreach.

 

In some cases we might use a different method to find your content, but as mentioned previously if you have any doubts as to how we came across your content, you have the right to request an exact answer, by emailing info@designwizard.com.

 

Why are we contacting you specifically?

 

We’ve identified you as the right person to contact about a specific piece of content. For instance you may be listed as the author of the post that we believe is relevant. Or in other cases the author may not have been listed on the post and we’ve identified that you are likely the best person to talk to. For instance you might be the owner of the business or someone else that is relevant such as the CEO, CMO, marketing manager, marketing executive or something else that’s relevant.

 

How did we obtain your contact details?

 

We use a number of different tools to find email addresses, all of these tools are freely available and obtain email addresses through public means. These tools include:

Don’t want to receive an email from us? No problem!

 

When we send outreach emails, we do so because we believe we are helping to add value, and we do not want to send unwanted emails, so we take your privacy very seriously. If you believe that we should not be contacting you or just don’t want us to contact you, it’s absolutely not a problem, there’s a number of ways you can request this and we are very happy to accommodate this. First of all, you can reply to the email you received with something simple like “unsubscribe” “cancel” “stop” “unsub” or anything else that is relevant, we will mark you as do not contact in our database and will add you to the unsubscribe list in our email tool so that we will not send you any further emails. You can also email info@designwizard.com and ask us to remove you from our lists and even to delete any information related to you completely out of our database.

 

We have a process in place to remove your data and if you do request that all data is removed then we will do so in a timely fashion, the maximum time frame we deem as being acceptable is 30 days but in the majority of cases we delete your data way before that.

 

What personal data have we collected?

 

We do not look for or find what we believe to be sensitive data that isn’t otherwise freely available. We have collected the following personal data in the process of searching for relevant content:

 

Your website domain

The exact url of the article that is relevant

Your name

Your email address

 

How long do we keep your data?

 

When we find your article or post and identify you as the person to contact, we record and store your data securely, once we have reached out to you we make every effort to ensure that your data is moved from the live contact sheet within 30 days. However we do retain the data we found (Unless you request us to remove it). The reason for this is pretty straightforward: to check for duplicates and make sure that we don’t contact you multiple times and end up spamming you. To give you an  example, let’s say we actively searched for articles about social media marketing tools, we would go to Google and use the search term “social media marketing tools” then we would record the relevant content we found and search for contact details to reach out and tell them why they could make their post more comprehensive by mentioning us in it. We would then reach out to the people who are relevant, and move them to the “already contacted sheet” within 30 days. One of the results we would find if we used the above search term would be – https://optinmonster.com/23-tools-that-will-take-your-social-media-marketing-to-the-next-level/.

 

If instead of moving them to a different sheet, we deleted all of the data we found about the people we contacted, then later tried to use a different search term to find other articles such as “best social media marketing tools 2018” we would again find this article in the results – https://optinmonster.com/23-tools-that-will-take-your-social-media-marketing-to-the-next-level/

 

If we didn’t retain the list of people we contacted, to check if we had already contacted them or not, we would end up constantly finding the same people over and over again and constantly sending them emails. We do not want this to happen because it would be very annoying for these people to constantly receive emails from us asking them to add us to their content.

 

This is the reason we retain the information we found after we already contacted you. Because we don’t want to keep finding and duplicating you and constantly emailing you. Ideally we only want to email you once about a specific piece of content, then follow up two more times to make sure you received our email, if you don’t respond to those emails we do not want to keep contacting you and in fact want to make sure that we don’t contact you again in relation to this.

 

As explained above though, if you want us to delete and data related to you that we have found and store, we are more than happy to do so.
